What to do if my timecard is rejected?

After you've clocked out of a shift and submitted your timecard, it will go into Pending status and can be founding in the PENDING tab of the TIMECARDS section in your app.

When your timecard is has been submitted and is in pending status, one of 3 things will happen:

  1. The pending timecard will get approved

  2. The pending timecard will be rejected

  3. The timecard will stay in pending status until it is auto-approved on Wednesday at 12pm EST.

    1. every Wednesday our system auto-approves pending timecards from the previous week to get them ready for payroll

If your timecard has been rejected by facility manager, it will contain a reason for the rejection. The reasons for rejection can be:

  • Clock in time

  • Clock out time

  • Nurse didn't show up for shift

  • Other/multiple

Below is what happens when these reasons for rejection are selected.

Rejection reason: clock in time

When clock in time is the reason for the rejection, the facility manager is able to enter the proposed clock in time. The proposed clock in time can be based on the facility's records (charting), their internal time clock, or other methods of tracking your attendance at their facility.

If your timecard is rejected because of your clock in time, you are able to review and resubmit your timecard. You will see a 'review' button next to these timecards, like so:

When you click review you will see the reason why the timecard was rejected and the proposed clock in time from the facility:

You can then resubmit the timecard, or click '๐Ÿ“ฃ report a problem with my timecard' to be connected with our Payroll team, who will help you with the timecard. You can also chat with the facility about the timecard, by clicking on the chat button on the timecard.

When you click resubmit you will have the ability to change your clock in time to a later time than the rejected clock in time. The facility manager will expect you to change it to the clock in time they proposed.

Once you resubmit your timecard, it will become pending again and the facility will be able to review and approve or reject it again.

Please note, the facility can see a history of the timecard's resubmission. If your timecard is rejected again and you can't come to an agreement on the clock in time, we recommend you contact our Payroll team.

Rejection reason: clock out time

When clock out time is the reason for the rejection, the facility manager is able to enter the proposed clock out time. The proposed clock out time can be based on the facility's records (charting), their internal time clock, or other methods of tracking your attendance at their facility.

With a rejected timecard due to clock out time, you are able to review and resubmit your timecard. You will see a 'review' button next to these timecards, like so:

When you click review you will see the reason why the timecard was rejected and the proposed clock out time from the facility:

You can then resubmit the timecard, or click ๐Ÿ“ฃ report a problem with my timecard to be connected to the ESHYFT nurse Payroll team, who will help you with the timecard.

You can also chat with the facility about the timecard, by clicking on the chat button on the timecard.

Once you resubmit your timecard, it will become pending again and the facility will be able to review and approve or reject it again.

Please note, the facility can see a history of the timecard's resubmission. If your timecard is rejected again and you can't come to an agreement on the clock in time, we recommend you contact our Payroll team.

Rejection reason: Nurse didn't show up for shift

A facility manager can reject your timecard when they believe that you did not show up for a shift. This may be due to:

  • you not clocking in on their internal time clock

  • no record of your attendance on the facility's record keeping

  • no records of charting

  • a mistake

If your timecard is rejected due to this reason, you can't resubmit it. You will see a timecard that looks like so:

Your only option will be to report a problem, which will inform our Payroll team of the issue.

Rejection reason: Other/multiple

A facility manager may reject your timecard for multiple reasons or other reasons than the ones listed above.

If that's the case, you will see the reason your timecard was rejected and your only option will be to get in touch with our Payroll team.

Your only option will be to report a problem on the timecard, which will inform our Payroll team of the issue.
